What Is a User License?
A User License grants permission to assign a Member to your organization so they can use the Fulcrum application. Your contract defines the number of User Licenses you're billed for, and a license is deployed the moment a User is assigned as a Member of your organization.
How Adding a Member Affects Billing
When you add a new Member to your organization, Fulcrum deploys a User License to that Member.
If your organization has an available (unused) license, no additional charge applies.
If no licenses are available, adding the Member deploys a new license and adds it to your bill.
New license costs are prorated based on the time remaining in your current billing cycle, so you're only charged for the portion of the cycle the license is active.
Before you confirm adding a Member, Fulcrum displays the billed amount on screen so you can review the cost before proceeding.
How Removing a Member Affects Billing
Removing a Member frees up their license for reuse, but it does not reduce the number of licenses billed to your account.
Licenses remain tied to your contract for its full term (monthly or annual), regardless of how many Members you remove. Removing a Member only makes that license available to assign to someone else — it doesn't lower your bill.
If you remove a Member and then add a new one within the same billing cycle, the new Member takes the freed-up license, and your account isn't charged for an additional license.
Reducing Your Billed License Count
Your billed User License count carries forward for the duration of your current contract term. To reduce the number of licenses you're billed for starting with your next contract term, contact [email protected] at least 30 days before your renewal date.
Requests submitted less than 30 days before your renewal date cannot be processed for the upcoming term. Your license count will carry over unchanged, and the reduction will instead take effect at your following renewal. This 30-day notice requirement applies to both monthly and annual contracts.
