Canceling a plan ends access to your organization's apps and data. Review the information below before you continue.
Before You Cancel
There is no way to recover data from a canceled plan. Once a plan is canceled, all data and apps are scheduled for deletion. Data is retained for 90 days in the active database and an additional 90 days in backup storage before permanent removal. Ensure you export all data before canceling.
Canceling takes effect immediately. Your plan and access are canceled right away, even if you've already paid for billing through a later date. Confirm you're ready to lose access before you complete the cancellation.
Prerequisites
To complete this task, you must be a member with one of the following:
The Owner system role
A custom role with the "manage subscription" permission
Canceling Your Plan
Complete the following steps in the Fulcrum web app. The Cancel Subscription dialog requires a reason, a comment, and the organization name before you can finish.
Open the Billing page. In the sidebar on the left, select Billing.
Scroll to the bottom of the page to the Cancel Your Subscription section, and then select Cancel Subscription.
In the Cancel Subscription dialog, under Reason for Cancellation, select the option that best describes why you are canceling. This field is required.
In Additional comments, enter a brief explanation. This field is required.
In Enter the name of the organization to confirm, type the organization name exactly as it appears after "You are about to cancel the subscription for" at the top of the dialog. Match the case and spacing exactly.
Select Cancel My Subscription. The button becomes active only after you complete all of the required fields.
Expected outcome: Your plan is canceled immediately and access to your organization ends.
TroubleshootingIf Cancel My Subscription is not active, check the following:
A Reason for Cancellation is selected.
Additional comments contains text.
The organization name matches exactly, including case and spacing.
Alternative: Minimizing Costs Without Data LossIf your project is temporarily suspended or finished but you intend to use Fulcrum again, consider reducing your active user licenses instead of canceling. The Cancel Subscription dialog also suggests this option.
Remove Members: Remove all users except for the owner.
Retain Data: This keeps your apps and data intact within the organization.
Efficiency: This reduces monthly costs and allows a faster startup for future projects.
NotesExporting data must be done manually before you cancel. Fulcrum does not export it for you.
The same 90-day retention policy applies to trial organizations, including those created accidentally. An accidental trial organization can be canceled, but it remains visible for the 90-day retention period without affecting your other organizations.
After you cancel, you can still access any other organizations you have created, view your invoices from the subscriptions list, and let the members you added keep access to their personal accounts. You cannot access the apps, choice lists, classification sets, or data that you or your members created in the canceled organization.
