Assigning data points using the importer

Learn how to assign records to individual users by using an imported CSV file. (Basic)

Assigning records to specific members ensures that only the assigned user and organization administrators can download and modify that data on mobile devices. This workflow facilitates efficient work distribution and maintains data security by limiting visibility to permitted users.

Prerequisites

  • Member Access: Ensure the users you are assigning records to are already members of your organization.

  • CSV File: Prepare your dataset in a CSV format for compatibility with the importer.


1. Prepare Your Data

To prepare your dataset for assignment:

  • Add a new column to your spreadsheet titled _assigned_to.

  • Enter the email address of the member responsible for each specific record into the _assigned_to column.

  • Save the finalized file as a CSV.

To update existing datasets, export your data from Fulcrum, edit the _assigned_to column in your spreadsheet, and re-import it into the existing app.


2. Import the Data into Fulcrum

Follow the steps in the import wizard to upload the data into an existing app. Note that the _assigned_to field will not appear during the mapping process, as Fulcrum automatically recognizes this as a system field and assigns the record to the member associated with that email address.

3. Verify Import Results

After the import is complete, open the Record Editor to verify the assignments.

  • To change an assignment: Select the Edit icon within a record to modify the assigned member.

  • To assign new records: Use the same editor interface for manual assignments of individual records.
