Triggering real-time alerts for admins or supervisors makes field data collection more powerful. This guide shows you how to configure customized email alerts based on specific triggers in your app workflow.
Prerequisites
Before you begin, ensure you have the following:
An active Zapier account.
Your Fulcrum API Key, visible on your Fulcrum profile page.
An existing Fulcrum app with the fields you wish to include in notifications.
Connecting Fulcrum to Zapier
To begin the integration, you must authorize Zapier to access your Fulcrum data through the App Connections interface.
Navigate to App Connections: In the left-hand sidebar of your Zapier dashboard, click on App Connections.
Add a New Connection: Click the blue + Add connection button located either in the center of the screen or at the top right corner.
Search for Fulcrum: In the search window that appears, search for "Fulcrum" and select it to open the authorization window.
Enter Authorization Details: In the pop-up window, configure the following:
Endpoint: Select the appropriate Fulcrum instance (e.g., "United States (fulcrumapp.com)").
API Key: Paste your Fulcrum API key into the field.
Authorize: Click Yes. Continue to Fulcrum to finalize the link between the two platforms.
Configuring a "Zap" for Email Alerts
Once your account is connected, you can create an automated workflow, known as a "Zap," to handle notifications.
Create a Zap: Select the + Create button in the Zapier sidebar and choose Zaps.
Trigger Step: Choose Fulcrum as the trigger, select the event New Record, and configure the settings according to your needs.
Action Step: Choose Email as the action and configure the recipient details accordingly.
Customize Content: Map your Fulcrum fields to the email subject and body to ensure the notification contains relevant data.
Example: Use the Site Name ID in the subject line to provide immediate context for the reader.
Tip: Use the selection tool within Zapier to insert dynamic data like Address or Status directly into the message body.
