What are projects?

Projects are tags that you use to identify and categorize your records. Once a record is tagged with a project only users that have been granted access to that project will be able to see and edit them.

Why use Projects?

Projects are key elements for data management. The key strengths of using projects to manage your data are:

  • Data can be filtered by projects on the mobile apps and the web app. Only the records tagged with the project(s) a user has access to will be synced down to that user's mobile device.

  • Only members who have permission to a project will be able to see the data captured under that project.

  • Data exported out of either exporter can be filtered to only include data from a specific project.

  • Projects are global. If a user has access to a project and project tagging is enabled on the app (details on this below), then users with access to that project will be able to tag records in that app with that project tag.

Creating Projects

Go to the Projects page by clicking the Setup dropdown on the Side Navigation to display the available options. Projects are located under the configuration section. Once you click on 'Projects' you will be taken to the 'Project List' page. There, click the '+ New Project' button located in the top right corner.

You will be redirected to the 'New Project' page, where you can complete the form to create your Project. This means giving your project a name, status, description, and additional information about the specifics of the project like Customer, Start and End date. There you can also grant other users in your organization access to the project.

After a project has been created, members who were granted permission will be able to use the project to start tagging records.

Enabling/Disabling Projects for an App

The ability to tag records with a project in an App is disabled by default. You can disable/enable project tagging anytime through the App Designer. Once you are on the app designer, click the advanced button in the App Settings section.


Advanced Settings

Once you click the button, a modal window will be displayed for the Advanced Settings. There all you need to do is click on the checkbox and your project will be enabled.

Notes

  • When projects are disabled for an app, any records tagged with a project will have the project value removed (set to null).

  • Disabling projects will allow all users in an app to view and edit all records in the app.

  • On the iOS and Android apps, newly created records will automatically have the same project as the previously-saved record.
